Job Summary:

Provide support for all dental and medical team members, report issues of importance to appropriate individuals, promote effective teamwork by working with patients and staff to schedule appointments, help ensure lab work is dispatched appropriately, sort and deliver incoming mail, and complete any reasonable duties requested by the providers to ensure the smooth functioning of the clinic.

 

Customer Service

  • Greet and care for the patients and visitors to the clinic in a polite and courteous manner at all times. Answer all incoming calls and have the ability to empathize with the patient and determine their immediate needs.
  • Inform providers of patients arrival, book appropriate appointments and schedule with appropriate provider by reviewing electronic records to determine procedure and time required.
  • Give emphasis to emergency patients and coordinate with the providers schedule to treat emergency patients at earliest opportunity. Triage emergency patients with appropriate staff and schedule as necessary.
  • Check-in patient according to office protocol, verify and update patient demographic and insurance information, manage recall and inactive patient record system.
  • Oversee patient relations and help explain office policy to patients, confirm the next days appointments according to protocol and patient preferences.
  • Maintain patient quick-fill list to try to fill in cancellation and no-show appointment times.

 

Records Management

  • See that records are stored securely and handled in compliance with HIPAA privacy and security regulations, accurately file patient information, arrange patient charts and radiographs for the next days appointments.
  • Connect patient to referral specialist to arrange referral appointments and obtain prior authorizations, if necessary.
  • Track broken and canceled appointments.
  • Monitor inventory and order office supplies as needed.
  • Attend all staff meetings as appropriate.
  • Perform other duties as assigned.

  • Answer and manage multiple incoming calls
  • Make and use quick-call list to fill cancellations and no-show appointments
  • Schedule patient appointments for efficient use of doctor and staff time
  • Confirm upcoming appointments and recalls according to office protocol
  • Organize referrals to other doctors
  • Dispatch lab work appropriately
  • Assist fellow co-workers when called upon
  • Arrange supporting documents for insurance claims
  • Sort and distribute incoming and outgoing correspondence
  • Monitor and maintain inventory of office supplies
  • Maintain a professional reception area, organize patient education, magazines, etc.
  • Safeguard patient privacy and confidentiality, handled compliance with HIPAA
  • Ability to triage patients on the phone, in coordination with appropriate staff.

 

Administrative:

  • Schedule patients as needed; assist with reminders/recalls.
  • Assist with purchasing of educational give-a ways and incentives for children.
  • Assist with community education activities as time permits.

 

Prevention/Education:

  • Assist with community prevention/education activities.

 

Qualifications:

  • Interpersonal: Ability to interact with others in a professional, compassionate, culturally competent manner, maintain confidentiality and work well as a member of a team.
  • Education: High School Diploma or Graduate Equivalency Degree. Basic personal computer skills are required, as well as the ability to learn word-processing, spreadsheet and other software programs.
  • Licensing: First Aid Certification, CPR certification, Washington State Drivers License.
  • Experience Minimum of one-year experience in office setting and/or scheduling. Knowledge of dental/medical terminology desired.
  • Other: Ability to maximize time management; good punctuality and attendance.

Requirements:

  • Regularly required to use hands to finger, handle or feel and talk or hear.
  • Frequently required to walk, sit, stand and reach with hands and arms.
  • Occasionally required to lift and/or move up to 40 pounds or more.
  • Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

 

Travel Requirements:

  • Infrequent travel for training opportunities, i.e. attend seminars, meetings and trainings pertinent to assigned job duties.
